App 02 — E-Sprawozdanie

From accounting data to an orderly financial statement.

Every Polish company files an annual financial statement (sprawozdanie finansowe) with the National Court Register, and every accounting office loses the same weeks to it. E-Sprawozdanie takes the balance sheet and profit-and-loss account from your accounting program and prepares the XML in the Ministry of Finance structure, plus the notes, the management report and draft shareholders' resolutions as DOCX. It then shows what the system checked and what you must review yourself. Signing, approval and filing with the KRS stay with you.

Built for Polish limited companies and the accounting offices that file for them

What it is

E-Sprawozdanie is an online generator of the Polish annual financial statement (e-sprawozdanie finansowe) for limited companies (spółki z o.o.) and the accounting offices that serve them. The deliverable is fixed and unforgiving: a schema-valid XML for the register, notes matching the right appendix to the Accounting Act, a management report and resolutions approving it all. Almost everything in it can be derived from the books, which is why doing it by hand every spring costs so much.

E-Sprawozdanie derives it. Upload the year’s balance sheet and P&L in the form your accounting program exports them, fill in what the files do not contain, and download the package. The result points at the items that need a human decision. Nothing in the app is signed, approved or filed for you.

How it works

  1. Add the company. Enter the NIP. Registry data comes from GUS and the KRS. Pick the financial year and the unit type: micro, small or full.
  2. Upload the figures. Balance sheet and P&L as XML, XLSX, XLS or PDF, plus last year’s file for the comparatives. Answer the questions the notes need.
  3. Download, sign, file. Sign the XML with a qualified signature, Profil Zaufany or an e-ID card and file it free of charge in the Repozytorium Dokumentów Finansowych, together with the resolutions and the management report.

What is in the package

  • XML financial statement in the Ministry of Finance structure JednostkaMikro, JednostkaMała or JednostkaInna, structure-checked before download.
  • Introduction and notes (DOCX), scoped to appendix 4, 5 or 1 of the Accounting Act depending on the unit type.
  • Management report (DOCX) as required by art. 49(1) of the Accounting Act. Micro and small units may omit it by resolution, disclosing their own-share purchases in the notes instead.
  • Draft minutes and shareholders’ resolutions (DOCX), to be adapted by the meeting: approval of the statement and the management report, profit distribution or loss coverage, and discharge for the board.
  • Cash flow statement and statement of changes in equity for units preparing the full statement.
  • A reconciliation of the balance sheet to the accounts (TXT), only when you upload a trial balance.
  • One ZIP with every file.

Checks before you sign

Four kinds of checks run on every package: amounts compared across your sources, arithmetic rules (total assets equal total equity and liabilities, the net result matches the P&L, the comparatives agree with the previous year), an XML structure check, and an advisory AI review. Each one comes with what it does not mean: balanced totals do not make a complete statement, and the AI review does not replace an accountant or an auditor. The statement stays yours to review, sign, approve and file.

Who uses it

  • Limited companies filing once a year without commissioning an extra job
  • Accounting offices preparing statements for many companies in the spring season
  • Micro, small and full units, each getting the XML structure and notes that match its type

A trial balance (ZOiS) is optional and adds a reconciliation of the balance sheet to the accounts. Last year's file can be loaded as the comparative figures. Company registration data comes from GUS and the KRS once you enter the NIP.

Is the XML accepted by the KRS register?

The file follows the logical structure published by the Ministry of Finance and is checked for structure (syntax, namespace, required sections, amount and date formats) and arithmetic rules (total assets equal total equity and liabilities, net result matches the P&L). This is not a guarantee of legal compliance or of acceptance by the KRS, and the signed file is filed outside the app.

How do I file the statement with KRS?

Outside the app. Sign the XML with a qualified signature, Profil Zaufany or an e-ID card, then file it free of charge in the Repozytorium Dokumentów Finansowych at ekrs.ms.gov.pl, together with the approving resolution and the management report, within 15 days of approval.

What are the deadlines for a calendar financial year?

Does E-Sprawozdanie sign or approve the statement?

No. The statement is signed by the head of the entity and the person keeping the books. E-Sprawozdanie prepares the documents and checks them; the AI review is advisory, does not replace the accountant or an auditor, and only points at items to review.

Can an accounting office manage many companies?

Yes. One account holds many companies, with roles and permissions for staff and an event log of every action. You pay only for the packages you generate.
